Web: www.aidshealth.org Job Description: AHF is seeking to recruit an Executive Assistant for Asia Pacific Bureau – in New Delhi, INDIA. The candidate should have an experience working in similar position in the private or government sector or NGO's possessing knowledge of basic computer applications, Microsoft office package and with excellent communication skills Key qualifications: • Graduate with at least two years experience working as secretary, executive assistant in a reputed organization. • Ability to communicate clearly in English and Hindi. • Must posses an adequate computer skills including use of internet/ e-mail application and MS-Office software; • Ability to meet deadlines; • Service-minded and able to work under pressure; • Available to start working in February 2006; Roles and Responsibilities: • Provide assistance and administrative support to Bureau Chief and his direct reports. • Manage daily operations of the Bureau's office. • Maintain and update Bureau's contacts database. • Record meeting minutes for all aforementioned meetings. • Liaise with AHF Finance on petty cash and credit card reports. • Compile weekly report on country treatment census. • Composes and types routine correspondence. • Prepares tables, charts, lists, and graphs. • Orders and maintains supplies as arranges for equipment maintenance. • Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by employer. • Prepares outgoing mail and correspondence, including e-mail and faxes. • Makes copies of correspondence and other printed material. • Organizes and maintains filing system(s) and files correspondence as well as other records. • Answers telephone and gives information to callers and routes call to appropriate manager. • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes meeting minutes. • Maintains accurate and up to date records of all staff meetings, including reports and other materials distributed. • Coordinates Bureau Chief's schedule and makes appointments. Arranges and coordinates travel schedules and reservations. • Other duties as assigned from time to time. Compensation and Benefits • As comparable to International NGOs operating in India.
