We have 13 substations but dispatch acts as the central receiving point for the requests unless the citizen is familiar enough with the structure of our dept to go direct with the substation. We take the required info on a duplicate form (we love paper!) with one copy remaining in dispatch and the other being sent to the substation commander for distribution at briefing. We used to enter the information into CAD but found that too cumbersome and pointless. The homeowner is instructed to contact when they have returned, regardless if they provide a return date on their initial call. The EP is then cancelled. It has leaving/returning dates, info about any vehicles that should be on the property, alarm info, keys with neighbors, lights on timers, etc. At roll call, the officers check the " Away Book " and make note of the properties in their sector. We are a shore resort area and do our property checks usually between November and May. We call those our " Day pc's. " the back room gives us an updated weekly list to complete during our day tour of duty. We are required to turn in the completed sheet as well as enter it in CAD. There is no liability on our end if water pipes break or the place is burglarized etc. We just check, notify and supply a police report for insurance purposes. The rest is up to the property owner. We also have zones of property checks that we do on our night tours during the same months. These are usually businesses, seasonal and year round. Each officer is assigned a zone at roll call. We rotate through all the zones during our night tours picking up where the last officer left off the previous night. We provide this as a service and there is no liability to the police department.If we find a problem we notify an emergency contact person and either wait on scene for a key holder or just make the notification and do the appropriate report for the problem we found. During the summer months we haven't the time or the manpower to provide such services. Hope this is of some help to you.
