Sorry Tom, I am finding what you are trying to do confusing. If you don't want patients to schedule themselves for a particular service, then do not offer that to them to schedule, you don't need to declare that as a policy. I have multiple times for people to choose how much time they

need for an appointment. Also, they list the reason they are coming in.

I have separate schedules for physical exams. You can look

at mine and see if it helps.

Hi Sharon and Lynn, I downloaded the free trial version of AQ and has been

playing with it since yesterday. I noticed that I have to confirm the

appointment made by the patient. How often do you check AQ to confirm the

appointments through out the day? It feel that it is a bit cumbersome. Also,

with AC, can I just use AQ and forget about the scheduler with AC? I can still

use AQ to schedule patient's follow up while the patient is in front of me.

when I'm in the office, I am always on and off AQ. Checking is not a problem

However if you like you can have AQ send you a text mail to your cell when someone books

sometimes I do that if out of the office but the office is supposed to open.

or it can send to your email

You can forget about the AC scheduler but I find it comforting to see what the schedule looks like in AC when I look back

also some of the search functions in AC look for the last physical exam etc.

I must say  that was easy   I   do not use this stuff but to play with this  for the first time ever  i just asked for  an appointment with sharon on Monday Well she's not there  so I asked for Tuesday  and picked my own  appointmetn length and I got this back instantly and i t  was fast and painless

Gosh, happy to see you on the schedule. But isn’t

Wed. your day off?

Ben, I have it set up so I get emails when a patient

schedules. The confirmation thing has only been a pain a few times when

the patient scheduled really close to the appointment time (you can set how

close you want them to be able to) and I didn’t get them confirmed immediately

and they called to double check. But generally it works really well.

I also import the appointments onto my personal calendar through the emails I

receive (I have a cheap level that doesn’t allow “exporting.”

I have my AQ set up so confirmation by me is required, but you can choose to "auto confirm" where you do not have to confirm the appointment. I note on my website that if they are scheduling for an appointment today or in a few hours, they may not rec've confirmation- for all others, they should call to confirm if they do not rec've a confirmation email. I also stress that they immediately rec've the notifcation email and if not, there was some type of malfunction. Usually, that is due to the patinet not scrolling to the bottom and hitting the "make appointment" button- has only happened a couple of times.

We double enter so we can always see everyone's last few appointments and keep track in AC of missed appointments the moment we highlight them as they call. "I need a refill on my ABC..." "Well it seems that it has been half a year since we have seen you last... I'll give Dr. Blake the message, but I get the feeling she is going to want you to come in for a follow up visit so she can properly track your issues." I wouldn't have it any other way. The dates and times come up way to often in so many ways.

Hi Sharon and Lynn, I downloaded the free trial version of AQ and has been playing with it since yesterday. I noticed that I have to confirm the appointment made by the patient. How often do you check AQ to confirm the appointments through out the day? It feel that it is a bit cumbersome. Also, with AC, can I just use AQ and forget about the scheduler with AC? i decided to go with the online scheduler www.genbook.com.  i was waiting till i've used it more to give a review but after comparing a that and AQ (and about 4-5 other ones), I just like it the best.  I start my practice next week so will give a more detailed review in a month or so

I found AQ not intuitive to set up, but easy to use once it was up and running. The confirmations were always sent to me by email, which I monitored q 2-3 hours in the office. Confirmations were useful for several reasons:1- I used the confirmation of a physical to remind me to send a "pre-appointment email" to patients that included a link to my review forms and How's Your Health. 2-Despite my stating in several places that my practice was closed to new patients, an occasional enterprising person would go ahead and book an appointment anyway. In lieu of a confirmation, they received a polite email saying no. 3-I could adjust the length of the visit based on the reason stated for needing the visit (custom form created in AQ) to longer or shorter. I set up so that patients could not make appointments less than 2-3 hours before the appointment time, to avoid surprises. My note on AQ said to call me if a timely appointment was not available. I did import my schedule first thing every morning into Amazing Charts - and made my small "same day" adjustments on that schedule, not AQ, as it was easier to create overbooks and adjust times. If a patient called and came in urgently, I didn't bother to put that into AQ much of the time (as long as I knew no one else could schedule on AQ because it was within 2 hours of the appointment time). AC also will keep your schedules forever as data, where AQ will erase all your information instantly if you cancel their service. You can import AQ's schedule into an outlook or similar schedule that uses .vcs format. You can also import their contact info (.vcf).

Now- most of us using AQ are having it notify us by email.... how secure is that?? I don't really want to ask the question as I fear the answer.

Which version of AQ do you have, Sharon? I have the least expensive version and it doesn't do some of the things yours does, I think. I have been considering getting a pricier version to have more than one appointment type available. I do not think that mine will send me a message when someone schedules either. I have basic and I get message when pt schedules (but we schedule all pts anyway).

Depends on the set up, admittedly the instruction manual is rudimentary.

Paying more really allows you to have more than 3 providers and locations mostly, or extend past 6 months.

Tom, I'd go with the $21.95 (i think) version. It allows you to export your schedule(one day at a time) into a csv file so that you can import it into your EMR/PM system (We us AmazingCharts).

You can have multiple types of appointments each with its own schedule (which can overlap, but will remove the availablity of another appointment type if there is a time conflict). You can also make up a custom form for each schedule so that the patient must fill in why they are coming in. You can have 3 registered office users.

So, for example. If you are in primary care, you might set up 5 appointment types as: New Physical, Established Physical, New "Sick", Established "Sick" and then you have one left over. On the sick visits, you can make a custom form and have them check off the boxex why they are coming (BP, Diabetes, Flu shot, Cold/Flu symptoms, RX refill w/ name of Rx, and Other--please explain). Ask for their email address in the system too---it will send a reminder email 48 hours before the appt, so they have time to cancel with 24 hrs notice to avoid your $25 NO-SHOW fee. You don't HAVE to personally confirm the appointment. I think you can set an option to let it AQ automatically confirm an appointment if a patient makes one online. I, however, have chosen to confirm all appointments made externally. I review their insurance to make sure we take it. It it says uninsured/self-pay, I give them a special welcome (we want to attract more of them). I review why they made the appointment to insure that it is appropriate for us. We double enter so we can always see everyone's last few appointments and keep track in AC of missed appointments the moment we highlight them as they call. "I need a refill on my ABC..." How often do you check AQ to confirm the appointments through out the day? It feel that it is a bit cumbersome. Also, with AC, can I just use AQ and forget about the scheduler with AC?
