Would any of you pediatric rehab facilities be willing to share your

cancellation/no show ratio?

Our pediatric rehab is multi-discipline and averages a 25% combined

cancellation/no show rate. This is despite a coutesy reminder call a

day before the appointment.

I would be interested to see if other pediatric rehab facilities are in

the same range.

Our ratios are about the same, despite many efforts to reduce them. I think it

is the nature of pediatrics, and long-term services for this age-group in an

outpatient setting. I would appreciate anyone's ideas on how to reduce this as

well.

Good morning,

Our facility shares this cancellation rate. We have a policy that

states that after 3 no-show we reserve the right to d/c the child or

place the child to our waiting list.

We average under 12%. If we go above this threshold, we get nervous and start

discussing what we need to do to decrease it. I practice in South Dakota, so

this time of year is when we tend to go over the threshold due to snow and ice,

but averages out.

Any suggestions on keeping that rate under 12% for peds?

Not sure. We have an outpatient ortho/sports clinic and see very few peds. Do

you call patients to remind the day ahead of an appointment? Maybe stressing

the importance of being " on-time " and that you have other patients you can fill

in may help during the initial treatment. I have not done a lot of peds. Can

anyone else provide some insight here?

Hello Ken,

We are running about 13-16% which is extremely good but because of a few things

we did this past year. We had created a parent manual - within which there is a

whole section about attendance including the caveat that the child may sometimes

be treated by other clinicians - all are competent and the session should not be

scheduled if primary therapist is on vaca. We have an attendance contract which

is reviewed at first and second visit. The parent signs it and we stick to it.

We have achieved the above cancel no show rate ONLY by doing this and calls and

a very very talented front desk scheduling staff. Good Luck.
