HIPAA and practice management software

I have a question regarding HIPAA compliance and practice management software.

I just passed the test in 2010 and my private practice is *finally* starting to

take off to where I feel I need a computer system to track clients, consults,

colleagues, and the like. I just spent a whole host of time setting up a Zoho

CRM instance, using Cases as a way to track consultations; I am also using

Contacts and Accounts to track clients and other contacts. Zoho has a built-in

ability to Invoice clients, plus the email system ties in quite nicely with

Gmail and Zoho Mail, both of which I use.

It was recently brought to my attention that Zoho CRM is not HIPAA compliant,

which is what brought me this post.

I had explored SugarCRM, but their hosted solution requires that you license 5

users, and I am the sole user; so their hosted solution was out of my reach at

$1800 per year. They do have an open source Community Edition, that you can

host on your own server, but I could not seem to get the email system configured

correctly and that was a deal breaker.

The person who brought this HIPAA issue to my attention mentioned that SugarCRM

is HIPAA compliant, but I do not know if this is only for the hosted solution,

or if the Community Edition is compliant, as well.

What software(s) do YOU use to manage your practice and do you know if it is

HIPAA compliant? What information have you learned about HIPAA and your

practice management software that might help those of us who are seeking a

solution?

Do you know if, as a sole practitioner, a solution is stored locally on my local

computer and not transmitting information/data across the internet, is it still

subject to HIPAA compliance?

What about syncing data to my iPhone?

Are general emails still subject to HIPAA, or is it just the transmission of

sensitive data via email?

I have been to the DOH website and am trying to sort through their information,

but I'm having trouble discerning who is covered, what are covered transactions,

yadda yadda.

Thank you for your replies. I'm hoping to have an insightful HIPAA discussion.

Sincerely,

, IBCLC, RLC

Yikes!! We're ok still with our version of HIPPA?

Flyers are shipped, so I'll contact Namaste to see when and if they are around at all in the near future(Holiday Weekend and all) for me to drop them off. I'm thinking perhaps Tuesday, and then they need to let us know a date. You are still available all Sundays in July except this weekend, correct?

Happy Travels!
