Hi Gwen --

I'm about 8 weeks from start up so the details of my day-to-day work loom

big. I love the idea of Appointmentquest and have heard other good things

about from docs here in Rochester. I too anticipate bundling it with AC,

etc.

But I do wonder about the times I'm not at the office or on-line but

rather out-and-about. If I take a call from a patient and want to book an

appt how could I access the schedule?

I'm considering a Treo phone/Palm so I wonder if I can get data updated...

perhaps have the Treo with a scheduler that is updated when I'm last in

touch with my computer, then access emails in the meantime? (I believe

Apptquest does send email notification when a patient books an appt,

right? So an updated schedule on the phone with access to any new emails

sent to me might allow me to know which appts are still open I guess).

This would allow seamless scheduling without risk of accidently double

booking whether I've got www access at my fingertips or not.

I do appreciate that with a micro practice the potential of this happening

is less than in a normal-sized practice, but I'm thinking through

potential headaches and how to prevent them at this point.

Thanks for any thoughts and sharing your experience. And perhaps other

Apptquest devotees can share how they integrate it.

I also use appointment quest for my appointments. I have been surprised how few people have been making their appointments online. I think it is about 10 %. All of the patients like the e-mail reminders. If I am away from my computer and someone calls to make an appointment I refer them to the web page. I do have a medical assistant answering the phone for me so maybe that's why most people prefer to call. I don’t think more than 10% of my pt’s

would schedule online either.

As a job-share practice we have stuggled with scheduling while away from the

office (ie home). We have settled on using microsoft outlook (instead of

Amazing Charts) for our patient demographics and office schedule. When we

upgraded our network to a server based one we added some great

functionality. Microsoft Small Business Server 2003 (including microsoft

exchange) comes out of the box with the ability to use remote access

(similar to gotomypc)to log in to your office computer from any internet

connection. With exchange, we created a shared calendar that all 3 of our

office staff can access simultaneously and update. This calendar can be

synched with my palm using KeySuite from Chapura, so all of my patient

contacts and schedule can be carried in my pocket. I believe there will

soon be cell phone/PDAs that will be able to access our exchange server

through the internet, allowing real time synchronization from anywhere, but

I'm not convinced yet that this functionality is practical. One more thing

about Outlook and SBS2003: there is something called Outlook over the

internet where Outlook will connect to the server from home without any

additional conncetion like a VPN. The VPN is necessary to access files

(such as our stored faxes, labs, x-rays etc) that we route using our

Exchange Server supported email. SBS2003 also helps a lot if you want to be

a paperless office and handle sending and recieveing of electronic faxes.

Hi Tim,

If I'm walking when they call, I just ask them to

schedule it themselves, walking them through the

process is necessary. I've occasionally borrowed

business' computer for a sec to jump on and see if

there was a last minute addition to my schedule.

Am looking at the new Treo 700W with broadband. In theory I could access

appointmentquest from anywhere (we have broadband available all around my

area... not an option in some locations of course), book the appt and then

notify the patient. A couple steps in the process but if I'm out-and-about

the convenience to know the task is complete may be worth it.

Will try to update folks as I practice everything in the next 4-5 weeks

with opening six weeks away.
